Why your leads go cold in the first five minutes

Buyers contact three companies, not one

When someone fills out a form for a service they need, they rarely fill out just yours. They open three tabs, submit three forms, and then get on with their day. The company that responds first with a real human and a real answer usually wins — not because they are better, but because they were there.

This is why "our leads are low quality" is so often wrong. The lead was fine. It was answered four hours later, by which point someone else had already booked the estimate.

What five minutes actually buys you

The pattern we see across accounts is consistent: contact within five minutes converts at multiples of contact within an hour, and by the next day you are largely calling people who have already hired someone. The curve is steepest in the first fifteen minutes, which is exactly the window a busy crew is least able to cover.

The point is not that your team is lazy. It is that a technician on a roof cannot answer a form fill, and a shared inbox is not a system.

The three automations that matter

Instant response. The moment a form comes in, the lead gets a text and an email acknowledging it by name, referencing the service they asked about, and offering a booking link. It takes an afternoon to build and it changes your close rate more than any campaign change.

Missed-call text-back. When a call rings out, the caller immediately gets a text. This alone recovers a meaningful share of calls that would otherwise go straight to your competitor, and it costs nothing per month beyond your platform fee.

Unsold estimate follow-up. Most companies quote and hope. A fourteen-day sequence on unsold estimates recovers work you already paid to generate — the cheapest leads in your business are the ones sitting in a folder.

Measure the right thing

Track average first response time as a number your team sees weekly. Once it is visible, it improves — usually before the automation is even finished. Then tie closed revenue back to lead source, so your ad platforms optimize toward jobs instead of toward cheap form fills.
